JOB TITLE: Business Travel Coordinator

SALARY: £29-32,000 per annum (plus shift pay)

Role Purpose:
Responsible for the smooth, efficient and cost-effective management of travel logistics for colleagues and crew, managing and coordinating all aspects of business travel including hotels and transport, ensuring compliance with company policies and delivering a seamless travel experience that supports operational goals.
Key Accountabilities & Responsibilities of the role:
- Manage travel, hotel and transport requirements via third party travel supplier.
- Responsible for providing clear and timely information on travel and booking arrangements for colleagues.
- Work closely with crewing officers to ensure all bookings for crew are Flight Time Limitations (FTL) compliant.
- Responsible for building strong working relationships with third party travel suppliers and hotel reservations teams, ensuring all suppliers meet SLA’s.
- Responsible for responding to queries and issues raised by colleagues regarding travel arrangements.
- Responsible for monitoring complaints and suggestions, working with internal colleagues and external suppliers to implement improvement solutions.
- Manage invoices in relation to travel, hotel and transport to ensure accuracy, including chasing invoices as required.
Key skills , knowledge, Experience required: (i.e. those required to fulfil the role, including qualifications):
- Must have a sound knowledge of English language, both written & spoken.
- An understanding of applicable regulations with respect to Flight Time Limitations and Fatigue Risk Management would be preferable.
- Proficient in travel booking platforms.
- Knowledge of aviation operations and travel logistics.
- Experience in customer service and negotiations.
- A proven ability to plan and organise in a fast-moving, ever-changing operational environment.
- A keen eye for detail and a quick thinker with the ability to resolve travel disruptions, cancellations or emergencies.
- Excellent communication skills and able to build relationships across teams,
- High level of IT skills and ability to use different IT software and systems.

The post holder will be required to work a shift pattern (4 days on, 4 days off) and be flexible with working hours.
