JOB TITLE: Training Administrator
REPORTING TO: Pilot Training & Planning Officer
SALARY: £32,000 per annum
DIVISION / DEPARTMENT: Flight Operations – Training
LOCATION: Head Office – Hampton Wick & WFH
Role Purpose:
The Training Administrator is responsible for coordinating and updating all administrative aspects of the initial and recurrent pilot, Engineering and Flying Loadmasters documentation for their training programs. This includes scheduling training sessions, maintaining training records, ensuring compliance with regulatory requirements, and providing support to instructors and trainees. The ideal candidate will possess excellent organisational and communication skills, attention to detail, and a strong understanding of aviation training requirements
Key Accountabilities & Responsibilities of the role:
- Responsible to the Pilot Training Planning Officer (PTPO) for administration of all initial and recurrent training courses conducted at One Air.
- Assist the DFT or his deputy with any training administration required.
- Monitor and record on Centrik the expiry dates of all training and testing certificates and the expiry dates of all crew, Engineers and Flying Loadmasters licences and ratings to ensure that all re-validations are completed in good time. Maintenance of accurate training records is essential.
- Run periodic workflows to ensure compliance with company manuals and procedures.
- In consultation with the PTPO, ensure that the training programmes are planned and sufficient numbers of training staff and appropriately qualified personnel are allocated to those courses to run successfully.
- Monitor changes to the FSTD approvals and ensure that all FSTD approvals are current and valid and are maintained on the Centrik system.
Key skills , knowledge, Experience required: (i.e. those required to fulfil the role, including qualifications):
- Strong organisational and time-management skills.
- Minimum of 2 years of experience in an administrative role, preferably within the aviation industry
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail and accuracy.
- Ability to work independently and as part of a team
- Knowledge of Centrik or similar training record system.
- Knowledge of an airline planning system (Leon, AIMS, Sabre etc.)
- Identify and signpost any safety issues or concerns in the training program to the PTPO and DFT.
- Able to work calmly under pressure.
- Collaborative working style and unafraid to ask for help or offer it. – Team player
- Able to adapt to changes in program or workload with ease.
- Ability to be flexible.
