JOB TITLE: Senior Accounts Payable Specialist
REPORTING TO: Accounts Payable Manager
SALARY: £38,000 – £40,000 pa

Role Purpose:
The role holder will deputise in the absence of the Accounts Payable Manager and take on the responsibilities of the role in their absence. Responsible for supporting the Accounts Payable Manager in delivering the Key responsibilities of the Department and the supervision and development of the Team. Together with ensuring all deadlines for the KPIs are achieved accurately whilst giving excellent customer service both internally and externally.
Key Accountabilities & Responsibilities of the role:
- Responsible for entering data into Dynamics 365 system accurately, on time whilst ensuring the correct procedures are followed both individually and by the Team.
- Responsible for circulating invoices to the appropriate Manager or Director for approval, and controlling the issue and receipt and subsequent posting to the Ledger.
- Responsible for Posting all approved invoices and credits to the Purchase Ledger accurately and on time
- Proactively answering queries from suppliers, contractors and other business departments about accounts payable or payments made giving the best customer service.
- Responsible for ensuring effective use of Microsoft Dynamics 365 to improve processes and efficiency and encouraging colleagues to maximise the system.
- Responsible for regular financial reporting as and when required
- Assisting AP Manager for the development and overall supervision of the accounts payable team ensuring they are motivated and understand the overall objectives and KPI’s for the department.
- Responsible to control and support AP department in AP Manager absence and liaising with all Departments as required. Assisting with company credit cards ,audit , reporting and proforma’s
- Responsible for accurately processing international bank payments and currency exchange, (including but not limited to GBP, USD and EURO), and dealing with overseas VAT.
- Responsible for confidently and accurately dealing with high value payments
- Assisting with weekly payment runs and Bank reconciliation on daily basis
- Assisting with urgent payments when necessary
- Responsible for accurately analysing various accounts to ensure payment calculations are correct and compliant with Company and Financial regulations
- Responsible for administration of financial records, including filing (electronic filing ) and maintaining records appropriately.
- Responsible for checking and posting employees expenses
- Assisting with weekly supplier payment run in multi currencies -GBP, USD , EURO, HKD and dealing with urgent payments requests
- Assisting with company credit cards
Key skills , knowledge, Experience required: (i.e. those required to fulfil the role, including qualifications):
- Educated to A-level standard or equivalent.
- Can demonstrate excellent proven record of successfully coaching and developing junior colleagues.
- Proven experience of managing Accounts payable department over a number of years in a complex fast paced environment
- Excellent proven knowledge and experience of working with various systems with the ability to define efficient process. Previous experience with Microsoft Dynamics 365 would be preferable.
- Excellent proven knowledge and experience working with foreign currency particularly USD and EURO, overseas VAT, and processing international bank payments.
- Ability to plan, organise and problem solve efficiently.

This role will be based in our Head Office in Hampton Wick, typically working from the office Monday to Thursdays and Fridays from home. The role holder will be required to work flexible and on occasion out of office hours.
